Facility Use Guidelines
The University of Alabama Institute for Manufacturing Excellence (AIME) Facility is a 50,000-square-foot building used for interdisciplinary research and development and outreach. Sections of the building are in use at all times by one or more of the AIME Centers. However, selected rooms may be used by any UA organization and organizations outside the University.
1. Reservation Policies & Procedures
Organizations interested in using the AIME facility should contact the AIME Administrative Office. Reservations must be made at least one month in advance of the scheduled event and the AIME Staff supplied with an event agenda. The rooms available for use in the AIME facility are as follows:
- Administrative Conference Room (#109)
- Executive Meeting Room (#213)
Requests for room reservations should be made in writing via the AIME Room Reservation Form. Room or equipment cancellations should be made at least forty-eight (48) hours prior to the event.
2. Keys
The AIME facility is normally open from 8:00 a.m. until 4:45 p.m., Monday through Friday. If an event takes place at other than normal operating hours, keys to the building and applicable rooms may be obtained from the AIME Administrative Staff.
3. Equipment
All AIME equipment (computers, projectors, etc.) must be placed in the off position after each use. Failure to do so may result in denial of future reservation requests or bulb replacement fees.
4. General Policies

AIME and The University of Alabama have the right to deny use of the facility based on the individual circumstances of a request and the right to move the event to another room if deemed necessary or appropriate by the AIME Staff.

Smoking is not allowed in AIME building. There is a designated smoking area outside the building at the rear plaza amphitheater.

Beverages should not be consumed in the Assembly Hall (#110) or in the upper tier of tables in the Planning Room (#111). The tables have internal electrical and data lines and spilled liquids could be damaging and dangerous.

All aspects of providing food and beverages are the responsibility of the User. Alcohol may not be served in any event where attendees include anyone under the age of 21. Furthermore, alcohol may only be used when approved in writing by Ms. Dot Martin, Assistant Academic Vice President for Administration (205-348-4894).

The User assumes responsibility for any damages or loss to the premises, equipment, or furniture therein and agrees to pay for all repair or replacement costs and expenses.

AIME furniture and equipment should not be moved without permission of the AIME Administrative Staff. Users may bring additional furniture and equipment for use in the AIME facility, but should discuss this with the AIME Administrative Staff when making their reservation.

Replacement of any displaced AIME property, clean-up, and trash removal should occur immediately after the scheduled event. Trash should be placed in the dumpster at the rear of the AIME facility.

If an event ends after 5:00 p.m. or takes place on holidays or weekend days, all rooms and exterior doors must be locked and lights turned off before departure.

All using organizations shall designate a contact person or representative to act as a liaison with the AIME Administrative Staff for planning the event. This person is also responsible for supervising the planned event and ensuring proper lock-up and clean-up.

User agrees to indemnify and hold harmless The University of Alabama, AIME, their officers, and employees from any and all claims arising out of the use of the AIME Facility. However, The University of Alabama and AIME do not agree to indemnify or hold harmless anyone associated with the scheduled event.
5. Visitor Parking
It is the responsibility of the hosting or facilitating department to provide visitor hang tags or parking garage tokens to attendees that are visitors to our campus.
